Information for Chairpersons and Speakers

Those who submitted abstracts to JHRS2023, the secretariat had already sent you the result to the address registered in the system of abstract submission. If you did not find the mail, please make contact to the secretariat (Mail: jhrs2023@ace-enterprise.net).

At this moment, JHRS2023 will be planned to hold as an onsite meeting in Sapporo.

Guideline for Chairpersons

Chairpersons should come to the room your session will be held at least 30 minutes prior to the session, and tell you are here to the staff in the room. Please take a seat in the front row of the room specially reserved for the "next session’s chairperson" at least 15minutes before your session starts.
During the Q & A period, please ask the audience with questions and/or comments to wait in line by the microphone in advance.
As there will be no announcement or cue, please proceed to take the stage at the scheduled time and initiate the session. We request for your cooperation to remain within the time allotted for the session and each presentation.

PC Reception (Speakers Preview Center)

Speakers should preview their presentation data in checking of the connection, and complete to register it at least 30 minutes prior to your session. The Speakers Preview Center will be open at, Ground Floor (1F), Sapporo Conventioncenter.

You cannot edit your presentation data at the Speakers Preview Center or your session rooms.

The podium will be equipped with a monitor, and a mouse. Please present your session using these devices.

Note

Please report any conflict of interest (COI).
Please register your data at the Speakers Preview Center, at least 30 minutes prior to your session. The presentation file name must include the session name, the presentation number, and your name.

The OS of the computer available at the room is as described below.

Software Windows Microsoft Power Point 365 *Power Point 2013, 2016, and 2019 are also acceptable

For data created with PowerPoint versions other than the above, please check ahead of time that it can be used with these specs.
If you wish to use a Macintosh, please bring your own PC.

<If bringing your own PC>

  • We recommend that you bring back-up data in USB flash memory.
  • Ensure that your computer is equipped with a mini D-sub 15 pins connector, or, alternatively, HDMI output.
    *
    If your PC does not have this connection, please bring an appropriate connector with you, along with the relevant adapter. (Please note that the presentation may not be possible without your connector and/or adaptor.)
  • Please bring all required connection cables and AC adaptor for your own PC.
  • Videos may be used, but please confirm ahead of time that it can be played back on the PC you will be using. In some cases, the video will play on the PC's LCD screen but not on a screen connected for external display. Please connect a monitor or projector to the external output of the PC you will be using for your presentation and confirm that the video can be played. Please note that videos created on a PC other than the one used for the presentation may not be playable.
  • Please disable screensavers and battery-saving settings ahead of time.
  • Please do not use “Presenter Tools.”

<If bringing storage media>

  • Media which can be used is USB flash memory.
  • If your presentation links to still images, videos, graphs, or other data, be sure to place those files in the same folder as the Power Point data and bring them. Please confirm ahead of time that the PowerPoint file can be used on a PC different from the one it was created on. Videos are limited to those which can be played back on Windows Media Player. Audio may be used.
  • The playback of videos using animation is not guaranteed if the Power Point version is different.
  • For smooth proceedings, do not use “Presenter Tools.”
(At the session room)please ensure that you are seated in the “next presenter seat” at least 15 minutes prior to your presentation.
